The Christmas Quest Experience Agreement & Photography Release

1. The Experience
The Christmas Quest is a guided outdoor and indoor holiday experience designed to be intentional, immersive, and unhurried. By reserving a time, you are securing a private experience for your family that includes a visit with Santa and professional photography.
To preserve the pace and magic for all families, sessions begin promptly at the scheduled time.
2. Reservation & Payment
A reservation is confirmed upon completion of booking and payment (full or deposit, as selected). Your selected time is reserved exclusively for your family and cannot be held without payment.
All sales are final and non-transferable without prior written approval.
3. Children & Guest Count
Each experience includes up to three (3) children. Additional children must be added at the time of booking or requested in advance.
Due to the nature of the experience and timing with Santa, unannounced additional guests may not be accommodated.
4. Arrival & Late Policy
Families are asked to arrive on time for their scheduled experience.
Late arrivals may result in a shortened experience or forfeiture of certain elements (including time with Santa) in order to maintain the schedule for all guests. Late arrivals are not eligible for refunds.
5. Cancellation & Rescheduling
Due to the limited and seasonal nature of this experience:
All bookings are non-refundable.
Rescheduling requests may be accommodated one time if availability allows and must be requested with advance notice.
Missed appointments (no-shows) are non-refundable and non-transferable.
In the event of severe weather or conditions deemed unsafe, The Christmas Quest reserves the right to reschedule your experience.
6. Weather & Outdoor Elements
A portion of The Christmas Quest takes place outdoors. By attending, you acknowledge and accept exposure to seasonal weather conditions including cold temperatures, uneven ground, and natural elements.
Families are encouraged to dress appropriately for the weather and terrain.
7. Liability Waiver
By attending The Christmas Quest, you voluntarily assume all risks associated with participation in both outdoor and indoor portions of the experience.
You agree to release and hold harmless Abby Lea Photography, The Christmas Quest, property owners, staff, and any affiliated parties from any and all claims, liabilities, damages, or expenses arising from participation, including but not limited to slips, falls, weather-related conditions, or other unforeseen circumstances.
8. Child Supervision
Parents and guardians are responsible for the supervision and safety of all children at all times during the experience.
9. Photography & Artistic Style
By booking, you are hiring Abby Lea Photography for a specific artistic style consistent with The Christmas Quest brand and portfolio.
Final images are artist-selected and edited at the photographer’s discretion. RAW or unedited images are not provided.
10. Image Delivery & Purchases
Digital images and prints are delivered via an online gallery.
Included images vary by package. Additional images, prints, and products may be available for purchase through the gallery.
Gallery access is provided for a limited time. It is the client’s responsibility to download purchased images before expiration.
11. Photography & Model Release
By participating in The Christmas Quest, you grant Abby Lea Photography permission to photograph and record your family during the experience.
You further grant permission for these images to be used for:
website and portfolio display
social media
promotional and marketing materials
No names or identifying personal information will be used without additional consent.
If you prefer not to have your images used for marketing purposes, you must notify us in writing prior to your session.
12. Experience Environment
To preserve the atmosphere for all families:
Please be respectful of timing and staff guidance
Outside photography or video recording during the Santa experience may be limited
Disruptive behavior may result in early conclusion of the experience without refund
13. Force Majeure
The Christmas Quest is not liable for delays, cancellations, or changes due to circumstances beyond control, including but not limited to severe weather, illness, emergencies, or government restrictions.
14. Agreement
By completing your reservation, you acknowledge that you have read, understood, and agreed to all terms outlined in this Experience Agreement & Photography Release.
